Parent Volunteer Information

Thank you for considering volunteering to help us host our new students at this year's Academic Planning Sessions.  Information about the events is below.  You may download these instructions for printing by clicking on the icon below.  When you're ready to register to volunteer, click on the registration button.

How to Volunteer

Session Dates

  • Tuesday, April 10
  • Wednesday, April 18
  • Monday, April 23
  • Thursday, May 3

Work Shifts

If you cannot work the entire shift, partial shifts are possible. You are welcome to combine a set-up shift with an event-support shift. You may volunteer to work as many sessions and shifts as you want. Summary descriptions of each work area are below.

2:00 – 3:30 Set-up
3:15 – 5:30 Event Support
Check-in, Waiting Area, or Check-out. Please arrive by 3:15 to have time to familiarize yourself with your area and responsibilities.

Student Ambassadors and staff will clean up at the end of each session.

Spanish

We welcome Spanish-speaking volunteers for all work areas. Several new families are more comfortable speaking Spanish. Please note if you are uncomfortable speaking English so we can be sure to have an English-speaking volunteer on the same shift.

Changing Your Time or Shift

If you are unable to work your shift, please contact the school as soon as possible. Event-support shifts are especially critical, and we will need time to arrange your replacement.

Who May Volunteer

Any family member cleared to volunteer at St. Augustine.

Children

Due to the nature of these events, children should NOT accompany the volunteer.

Location and Parking

The Academic Planning Sessions take place in the cafeteria and in the breezeway and courtyard just outside it. The closest parking is in the east parking lot (between the tennis courts and the outdoor basketball courts). The gate from the parking lot should be open.

Dress Code

Dress comfortably and appropriately for meeting new families.

Submitting Parent Commitment Hours

We will submit your parent-commitment hours for you and send you a copy of the form.

Work Areas

Set-up

Hang signs. Set-up waiting area.
Sweep cafeteria. Set-up check-in area.
Arrange tables and chairs. Set-up check-out area.
Dress tables with tablecloths, signs, supplies, and resources.

Check-in

Greet students and families. Supervise one to three Student Ambassadors.
Process check-in paperwork and student admission folders.

Waiting Area

Greet students and families. Manage queue for follow-on meetings.
Manage student admission folders and paperwork. Supervise one to three Student Ambassadors.
Manage queue for initial interviews.

Check-out

Greet students and families. Re-file student admissions folder.
Check that all steps are complete. Distribute Family Orientation Flyer.
Collect and sort paperwork. Answer final questions.
